Levels of Access
Available levels for user rights are Standard, Supervisor, Manager, Operations, Administrator – A hierarchy in that order from basic usage to the highest level giving access to everything including Editing buttons and till layout.
For many clients, two or three levels are enough, and users are either Standard, Manager or Administrator. A standard user may be a volunteer in a shop, who needs to be able to make sales but not a great deal more. The Manager would typically be the shop manager, who can Add and Edit other users, do End of Day, Petty Cash, Refunds etc. The Administrator can use the \\commands and right click on buttons to edit them.
The functions available to groups of users are customisable, so for instance in one organisation a Standard user may be able to press the End of Day button, another may not want this. A users level is set when adding/editing users in tengoPOS – see that article for more information about setting up the User, and individual buttons on the till can have their use restricted to a certain level and above.
Setting levels on buttons
Each Button on the till can have its use restricted to a certain level and above.
- Editing buttons is restricted to Administrators
- To enter the Edit screen, first place your Cursor over the relevant section of the till. The screen is divided into 5 areas for this purpose, Left hand panel, Center panel, Right hand Product panel, Number panel and Tender panel.
- Here we are looking at the Left hand panel
- Right click with a mouse, or Press the relevant button, for a second or so (this is the equivalent on a touch screen machine of right clicking with a mouse) or press control on the keyboard and tap the button. The following screen or similar will appear, this is the button edit screen –

- In this case we are looking at the End of Day button, make sure the one you are editing is the highlighted one in the expanded view of buttons to the right of the screen. It will be edged in green
- All the buttons in that section of the till are shown in the main panel on the right
- On the left, the Detail for the particular button is show, in this case what happens when you press the End of day button is defined
- Touching a different button panel on the right will bring the detail for that button up on the left
- Looking at the End of day button, near the top of the left hand column, you can see the word Restricted, and Administrator has been selected from the drop-down list
- In this case only Administrators can perform the end of day function. However some organisations will allow Standard users to do this, so from the drop-down, you would select Standard. Press OK bottom left of screen to save changes. Any user will then be able to use the End of Day button, including Standard
For setting a given user’s access level / user rights in the first instance, see the guide here on users.
